Events have one date that cannot move. If the stewards, bar staff or catering team are short on the day, the guests notice before the organiser does. What an event needs from a staffing supplier is volume, reliability and the ability to change the numbers late without everything falling apart.

For one client we provided up to 120 staff a day across seven councils in South and West London, working in pairs and teams of four, with half of them holding SIA badges. Planning for the numbers, and for the changes

Event numbers move. A sold-out show needs more stewards, a corporate dinner gains two tables, a festival adds a stage. We work from your staffing plan and adjust as it changes. Because our workers are screened and onboarded before they are offered shifts, extra people can be added late without starting the paperwork from scratch.

Licensed roles and the rest

Not every event role needs a licence, but some do. Under SIA rules, guarding licensed premises against disorder or damage is door supervision, and protecting property or people is security guarding. Where your event plan includes those roles, we supply SIA-licensed staff for them and non-licensed stewards and hosts for the rest, so you are not paying licensed rates for jobs that do not need them. Catering staff who handle food hold a food hygiene certificate where the role calls for one, and every worker has a right-to-work check before their first shift.

Tracking a large team on the day

On a big event the hard part is knowing who is actually there. Through our workforce portal you can see who is booked onto each shift and who has clocked in, check a worker’s profile and documents before they arrive, and request workers you have used before. Timesheets are checked and amended before invoicing, so the hours you pay for are the hours that were worked. On the campaign above, timesheet data was collated at the end of the contract for the client to analyse.

How our rates work

The charge rate covers the worker’s pay, holiday pay accrual, employer National Insurance and any licence the role needs. Licensed security roles cost more than stewarding or hosting. We quote a range until we know the venue, the timings and the headcount, then confirm it in writing.

How far ahead do we need to book?

The earlier the better for large teams, but we also handle late requests. Tell us the date, the roles and the numbers and we will tell you what is realistic.

Can you supply a mix of licensed and non-licensed staff?

Yes. Most events need both, and we staff each role at the level it actually requires.

Do you work outside London?

Yes. We cover Greater London, Kent and Essex, and the wider South East for larger bookings.
